Giving your team work phone numbers without buying phones
Personal mobiles for work calls cause churn, privacy complaints and lost history. There is a better setup.
In service businesses, client contact ends up on personal phones almost by accident. Somebody hands out their mobile so a customer can confirm an appointment, and six months later that number is the business's front door.
It works until the person leaves, goes on holiday, or asks — reasonably — not to be texted at 10pm.
Separate the number from the handset
A work number doesn't need a work phone. Give each teammate a number that rings inside the app on whatever device they're already carrying.
When they finish for the day they close the app. When they leave the company the number stays with you, along with every text and call it ever handled.
Texts belong to the team, not one inbox
Customer texts are business records. If they sit in one person's messages app, nobody else can pick up the thread when that person is off.
A shared text inbox means whoever is on shift can reply, and the history is there for the next conversation.
Keep the log
A call log sounds bureaucratic until the first time a client disputes what was agreed. Who called, when, how long, and which way round takes seconds to check.
Search it by name, number, date, outcome or length and the answer is one filter away.
Zenivo puts all of this in one app
Announcements with confirmations, team chat, guides, surveys and — on the paid plans — phone numbers, a shared text inbox and a company mailbox.
